This week’s episode comes from a listener question that came from a past episode (Episode 182 with Kristin Molenaar). The listener was curious what tasks I actually outsource and think you should outsource to a VA (virtual assistant).

I'll be honest in admitting that I haven't had the best time finding things to outsource to VA's (I guess I'm more of a control freak than I thought... or just super frugal and think "I could just do it faster myself") but I've used VA's on and off for a couple of years now, and I finally feel like I've cracked the code.

First things first, I do believe that you as the CEO, owner, and face of your brand and business should have some type of understanding of the thing you’re trying to outsource. You don’t have to know how to do everything perfectly, but I do think that you should have an understanding of how to do the thing you’re thinking of outsourcing before you hire someone.

It's been super important to me to make sure I'm paying a VA to help me with tasks that are both NECESSARY (meaning, they are either required tasks to fulfill the service I am selling to paying clients) OR they are tasks that will produce a predictable result to bring in more clients).

In the past, I've thought of all the things I'd be "comfortable" outsourcing and it was always stuff that, if I wasn't doing it, really didn't have to be done because it wasn't moving the needle, so there was no real reason to be paying someone to do it for me anyway.

So after some time, I've landed on having my VA do...

  • Repetitive weekly service fulfillment tasks

    This is going to be specific to my work, but this stuff looks like...

    • updating my clients' weekly progress trackers

    • uploading weekly call recordings to shared client folders

    • sending out monthly feedback and weekly accountability forms to clients to be filled out

      ...basically a lot of repetitive client management stuff

  • Repetitive weekly marketing tasks that predictably move the needle

    For me this looks like...

    • pinning the podcast show notes to Pinterest and sharing from there

    • researching and creating engagement plan for ideal clients on Instagram

    • repurposing podcast / Instagram content for multi-use

    • crossposting content to other platform

That's basically the extent of what I use a VA for at this time. I know there's a lot more I'd like to do in the future, but this has been a solid "restart" for me. It's been super important for me to make sure I can see a return on this type of investment - meaning, I either want to pay someone to help take things off my plate that I absolutely have to be doing in order to fulfill on the service I'm selling OR I need to be able to measure their efforts and performance based on the future income received because of their actions.
